AeroMetrix Privacy & Data

AeroMetrix ("AeroMetrix," "we," "us") is an aircraft maintenance management platform. This Privacy Policy describes the information AeroMetrix may collect, how it is used, and the choices available to you. By using AeroMetrix, you acknowledge the practices described here.

This policy applies to the AeroMetrix application and its production environment at AeroMetrixhub.com. It does not apply to third-party services that operate under their own privacy terms.

To provide and operate AeroMetrix, we may collect and process the following categories of information:

• Account information: your name, email address, role, department, job title, and organization membership.
• Authentication information: credentials managed by the AeroMetrix authentication provider, login timestamps, and session data. AeroMetrix does not store your password in plaintext.
• Organization information: organization or company name, business logo, business address, and subscription metadata.
• User activity: actions you take within AeroMetrix, administrative audit-log entries, and feature usage.
• Device and usage information: browser type, device characteristics, and application usage patterns used to operate and secure the platform.
• Aircraft-related information: tail numbers, make, model, serial numbers, flight hours, cycles, engine and APU data, and aircraft tracking data.
• Maintenance information: work orders, maintenance records, discrepancies, labor entries, inspections, and signatures.
• Inventory information: part numbers, serial numbers, quantities, vendor references, and parts-sales listings.
• Tooling and calibration information: calibrated tool records, calibration due dates, and ground support equipment records.
• Flight information: flight schedules, crew assignments, fuel data, charter bookings, and pilot logbook entries.
• Crew scheduling information: crew availability, duty time, and qualification records.
• Business information: customers, invoices, quotes, expense reports, subscriptions, and business documents.
• Uploaded files and documents: files and images you or your organization upload, such as aircraft documents, compliance records, and photos.
• Reports: generated reports derived from the data above.
• User-generated information: notes, descriptions, and other content you enter into AeroMetrix.

This list reflects the information AeroMetrix actually processes. We do not collect categories of information the platform does not use.

AeroMetrix processes information entered by organizations and their authorized users as necessary to provide AeroMetrix functionality. This may include fleet information, aircraft records, work orders, maintenance records, compliance records, inventory, GSE and calibrated tooling records, business records, reports, alerts, predictive maintenance information, flight schedules, crew schedules, parts-sales information, and charter information.

This information is associated with the applicable AeroMetrix organization and is managed by that organization's authorized administrators. AeroMetrix does not expose one organization's private data to another organization.

Organization data is associated with the applicable AeroMetrix organization/account. AeroMetrix enforces data separation so that users cannot access information belonging to another organization through any privacy, account, export, or settings functionality.

Organization A will never gain access to Organization B's data. Privacy requests, data exports, and account settings are scoped to the requesting user and their own organization only.

AeroMetrix may use the information it processes to:

• Provide AeroMetrix functionality and features
• Authenticate users and maintain user accounts
• Operate aviation-management features including fleet, maintenance, inventory, tooling, compliance, scheduling, and reporting
• Provide alerts and notifications
• Support maintenance workflows, scheduling, and flight operations
• Generate reports
• Maintain security and prevent unauthorized access
• Diagnose technical problems and improve system reliability
• Provide customer support
• Meet applicable legal, regulatory, and contractual obligations

AeroMetrix may share information in the following circumstances:

• Authorized service providers: third parties that help operate AeroMetrix (described in the Third-Party Services section) under appropriate data-processing terms.
• Organization administrators: certain account and activity information is visible to authorized administrators of your organization for organizational administration (described below).
• Legal compliance: where required by law, regulation, or legal process.

AeroMetrix does not sell personal information. Where third-party integrations exist, information may be transmitted when users or organizations intentionally use those integrations.

Users belonging to a company or organization may have certain account information and AeroMetrix activity accessible to authorized administrators of that organization when necessary for organizational administration. This may include account status, employee role, department, location, aircraft access, module permissions, organizational activity, and applicable business records.

Administrators do not automatically have unrestricted access to information outside their granted AeroMetrix permissions. Administrator access is governed by the same role-based permission system that applies to all users.

AeroMetrix uses essential technologies to operate the application:

• Authentication and session technologies: required to keep you signed in and secure your session.
• Security technologies: used to protect the platform from unauthorized access.
• Preference storage: stores your display preferences (such as theme and navigation settings) locally on your device.
• Analytics: AeroMetrix may use analytics to understand feature usage and improve the platform.

AeroMetrix does not use advertising cookies. Where configurable consent is required for a specific technology or jurisdiction, the system is designed so appropriate consent controls can be added.

AeroMetrix uses reasonable technical and organizational security measures designed to protect information, including authenticated access, role-based permissions, organization-level data separation, and encrypted data transmission. No system can be guaranteed to be completely secure, and AeroMetrix does not represent that the platform is "100% secure" or impossible to compromise.

Retention periods may vary depending on the type of information, your organization relationship, operational requirements, aviation recordkeeping requirements, security, legal requirements, and contractual obligations.

Historical aviation records — such as maintenance signatures, inspections, work orders, compliance history, tool transactions, and parts transactions — are retained as necessary for legitimate operational, regulatory, security, contractual, or legal purposes. These records are not automatically deleted when an individual employee account is removed.

AeroMetrix connects with the following categories of third-party services, which may process information under their own privacy terms:

• Cloud infrastructure and authentication: the Base44 platform that hosts AeroMetrix and manages authentication.
• Payment processing: the configured payment provider (Base44 Payments) processes subscription payments. AeroMetrix does not store full card numbers or CVV codes.
• Email delivery: services used to send invitations and notifications.
• Flight tracking: aviation data providers used for live aircraft position information.
• Aviation weather: services that supply meteorological and aviation weather data.

Only third-party services actually used by AeroMetrix are listed above. When you or your organization intentionally use an integration, information may be transmitted to that provider under its own terms.

Payment information is processed through AeroMetrix's configured payment provider. AeroMetrix does not directly store full credit or debit card numbers, CVV or security codes, or other prohibited payment credentials. Only appropriate payment-provider references and non-sensitive subscription metadata are stored by AeroMetrix.

Billing information is restricted to the Account Owner and explicitly authorized users.

Organizations may in the future add their own internal policies (such as an Employee Privacy Notice, Safety Policy, Maintenance Procedures, or IT Policy). Any organization-specific documents remain separate from this official AeroMetrix Privacy Policy and never overwrite or replace it.
